We process information about
- Businesses and their designated representatives accessing the Growth Hub service
- Individuals (sole traders or those looking to start up a new business)
The types of information we hold includes
- Name and job title
- Contact information, including business address, email address and phone number
- Business information (e.g. business name, industry of operation, size of business, turnover)
- Anonymised diversity monitoring information (age, gender, ethnicity and disability status of the business ownership) – this is optional monitoring information
Why do we collect your personal information?
Your data is collected by the Growth Hub as an essential part of the services we deliver. The reasons for this include the following:
- In order to deliver our business support services, we must collect data about you and your business and log this onto our CRM system. This allows us to best provide you with the relevant support that you require as you access our services
- To track the support that you have accessed to understand your progress through our services and support preferences
- For monitoring and evaluation purposes to understand the impact of our services, and to understand more about the individuals and types of businesses that access our services.
- As part of our registration form, you asked to declare certain diversity monitoring information relating to the ownership of your business. This information is completely optional to provide. This helps us to understand whether our services are inclusive and reach a wide range of people. Any information you provide will be collected, anonymised and stored separately from any other personal data you have shared with us to protect your identity.
- We will always ask for your consent when it concerns marketing information and being added to mailing lists. You will not be sent any regular updates unless you have explicitly opted-in to this.
Who do we receive information from?
The information we hold on you and/or your business is provided when you contact us via our website, email, face to face, virtual calls or via the telephone. Following your initial enquiry with the Growth Hub, you will be requested to complete a client registration form which records the information that we require from you to provide an effective and relevant service to you and/or your business.
In the case of businesses, we may augment the information that you provide with publicly available sources of information, such as Companies House information or from information on your business’s website. In all cases we will only record information for which we have a clear and defined purpose for.
Who do we share this information with?
The data you share with us will never be sold to third parties and will be treated with confidentiality. However, there are some instances in which we would be required to share your data. Sharing is limited to the following reasons:
- We work jointly with our delivery partners Hull City Council (Invest Hull) and East Riding of Yorkshire Council (Invest East Yorkshire) to deliver our programmes to improve our services and avoid duplication. In cases where we are working jointly with these partners we share your personal data with them to enable this and so that they can communicate with you about any programme you are attending and offer you follow on support.
- We occasionally work with third party organisations – who help us to deliver our workshops and other events. We will never share your personal details with these third parties without your express consent, and we will only share the minimum amount necessary. Should you wish to take part in any Growth Hub activity which is delivered by another organisation the organisation will be named – and you will be given notice of their involvement when you sign up to the event. These third party organisations can change as future commissioning will be an ongoing process. If you would like to know the names of the third parties we share your data with, please contact us and we will be happy to provide this information to you.
- The Government Department for Business and Trade (DBT) who fund the Growth Hub – or their nominated agents – may occasionally request data and insights into the types of businesses that we have engaged with for more than one hour in any financial year, in order to understand how Growth Hubs across the country are performing. The type of data shared is business information (e.g. business name, industry of operation, size of business, turnover etc). DBT requires this information purely for monitoring and evaluation purposes only and will not process it in any other manner.
- We may contract external organisations to follow-up with you for research and evaluation purposes only. In order to do this, we will need to share your contact details and business name (any confidential business information will not be passed on). Your data may be used to produce evaluation reports for us, so that we can monitor the success of our services. All of the findings will be anonymised and will not be published or referred to in a way which identifies any individual or business. Once the contractual agreement is completed, the external organisation will have to securely dispose of all of your data and they will no longer be able to contact you for any other purpose. It is highly beneficial to us if you take part in these evaluation projects, as it allows us to improve our services. However, you are under no obligation to take part and can choose to opt out.
This processing is undertaken on the basis of:
- Article 6 (1) (a) the data subject has given consent to the processing of his or her personal data for one or more specific purpose
- Article 6 (1) (e) processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the controller
How long do we keep you information for?
The terms and conditions of our funding require that information relating to the delivery of the Growth Hub must be retained for specific periods. HEYCA as accountable body for the Growth Hub is required to comply with current UK law and contractual conditions for funding. Please see this as follows:
Personal Information – For as long as you remain an ‘active user’ of the Growth Hub service. This means that you are regularly in touch with a Growth Hub advisor or attend an event to receive business support. If you become ‘inactive’ for more than 12 months, we will securely delete your personal data.
Business/Organisation Information – The Growth Hub will continue to store this information indefinitely. As long as Growth Hubs are operating, this data is needed to provide insights on our customers and understand trends. However, this will only include non-personal information. Any personal details or confidential information will be removed as stated above.
Individuals and/or businesses may request the deletion of their data that is held by the Growth Hub; however such requests will be dealt with on a case-by-case basis. Where the individual or business has been a recipient of funding from the Growth Hub, details must be retained until the Growth Hub service concludes. In all cases, the Combined Authority will comply with UK law and the requirements of funding bodies.
