Hull Overseas Trade Awareness Project (UKSPF-funded)

Overview This Privacy Notice explains how we use and share your information in relation to the Hull Overseas Trade Awareness Project. HEY LEP collects, processes and holds your personal information in order to effectively deliver our services. We recognise that your personal information is important and we take our responsibilities for ensuring that we collect and manage it appropriately very seriously

Data controller In order to process your personal information HEY LEP is registered as a ‘Data Controller’ under the Data Protection. Kingston upon Hull City Council is the UKSPF funder for this project and is also the accountable body for the Hull and East Yorkshire Local Enterprise Partnership (HEY LEP) which is the project managing body. Hull City Council is registered as a data controller with the Information Commissioner’s Office (registration number – Z6005621)

Purpose for processing personal data

In the course of our work around international trade, we collect personal information from businesses so that we can support the exporting ambitions of SMEs based in the Hull and East Yorkshire region through 1:1 advice, grants, and workshops and other projects, which are delivered and funded through the UK Shared Prosperity

We will use your personal information for a limited number of purposes, and at all times in accordance with the principles set out in the Data Protection Act, including –

  • for the purpose you provided the information for or where you have consented to the processing of your information
  • to deliver the services you request
  • to allow us to communicate effectively with you
  • to confirm your identity where needed to provide our services
  • to improve our understanding of your needs, to enable us to inform you of and provide you with other relevant services and benefits
  • to monitor and improve our performance and delivery of services
  • to ensure that we meet our legal obligations efficiently and effectively, including those relating to Equality and Diversity and Health and Safety and
  • where otherwise permitted under the Data Protection Act

We may not be able to provide you with a product or service unless we have enough information, or your permission to use that information. Your personal data, after it has been anonymised, may be used to for statistical analysis to allow us to effectively target and plan the allocation of resources and provision of services.

Types of personal data we process

We process information aboutbusinesses and their employees, our delivery and service partners and this data can include:
Name, addresses, contact information, company information (including financial), Sector information, information about employees, information about a company’s exporter status and activity.

We receive such information from businesses and individuals (sole traders) and the Fund (UKSPF) programme.

Information sharing
During the delivery of the project we are under contractual obligation to undertake an evaluation, which will be carried out by Kingston upon Hull City Council. We may share information about you or your business with this organisation in order to fulfil this obligation. Information is processed to enable us to support businesses in the Hull and East Yorkshire area, in line with the requirements of our UKSPF funding.

Individuals and/or businesses may request the deletion of their data that is held by the HEY LEP in relation to any UKSPF-funded project, however such requests will be dealt with on a case-by-case basis. Where the individual or business has been a recipient of funding from the Programme, details must be retained until the Programme concludes. In all cases, the Local Authority will comply with UK law and the requirements of funding bodies. We work with external suppliers/businesses who we may need to share your data with in order to deliver their contract and offer support to you.  Where your data is shared with third parties, we will only share the minimum amount necessary. In some cases, our external suppliers/businesses may process/retain additional information about your business in order to provide the optimum support to your business.  Information held by the external supplier/business will be in line with the data protection principles. 

These suppliers/businesses can change and future tenders for new procurements will be an ongoing process.  If you would like to know the names of the suppliers/businesses we share your data with, please contact us and we will be happy to provide this information to you.

In addition, we may use the following third-party service providers named below to process and store your data:

  • Mailchimp (The Rocket Science Group, LLC), which we use to manage email marketing subscriber lists and send email notifications regarding our events, workshops and SME support activities to our subscribers. 

Any personal information we hold about you on Mailchimp is stored and processed in accordance with the UK’s Data Protection Act 2018 and the General Data Protection Regulation (GDPR).  Read their privacy policy.
We will not share your personal information with or sell it to third-party marketers.
